[CASL-L] computer lab or cart scheduling

Yes. We use OUTLOOK CALENDAR. Our school email uses OUTLOOK for all teacher email and calendars. Many teachers just access through the OUTLOOK WEB APP.

So, we asked our I.T.Dept. to set us up with a "RHS.LIBRARY" email ID. For years I used one calendar with Multiple colors. It became too confusing.

Two years ago, se set up multiple calendars and we share the VIEWING of them out to the entire staff.

The Library Staff and the Main Office Secretaries are the only ones who have been given write access to create or delete items on the calendar. We log into that at our main library circulation desk PC. Teachers are asked to email both to the "RHS.LIBRARY" email and copy to the Librarian for any Library, Equipment, Chromebook Cart or Library Conference Room Requests.

The Time/DATE stamp on their email request determines priority (unless bumped by an Administrator for emergency need).

We now use THREE CALENDARS. The one "RHS.LIBRARY" outlook ID can have MULTIPLE CALENDARS in outlook. So, we use our MAIN "RHS.LIBRARY" Calendar for our Library BOOKINGS, using the Library physical spaces with color coding for each area (gray=Library Computer Lab of 28 PCs, Dark Pink = Entire Library, Light Blue =Front End with approx 10 tables, Green = Back End with approx 8 tables, etc.). We made one calendar for booking our TV/STUDIO (with 12 iMacs which is only used for class 3 out of 8 periods) and CHROMEBOOK CARTS (with 27 chromebooks). We have one calendar for our Library Conference Room and Auditorium (library often has to provide AV equipment for Cofnerence Room and Auditorium projection use, etc.)

If you do not have access to OUTLOOK, you could use GOOGLE CALENDARS or another ONLINE WEB Calendar.

Teachers and Staff can log in and view the calendar. If no one is using the resource or space they want to use, they may email and we will "BOOK" them on the calendar and confirm they are now on our Calendar. If there has been another booking that "beat" them with time date stamp but we hadn't gotten it on the calendar for them to see, we email them and inform them that for example, Mr. Smith emailed over the weekend so they get the Computer Lab first.

We also ask them to tell us what the purpose of their request is (Research, Word Processing, Prezi, PPT, book selectiion, etc.) and if the request is for computers, we ask how many students or PCs they will need. Sometimes we are able to book in two classes to use the Library Computer Lab if they only need 12 to 14 PCs each, etc. If this is the case, we email them to see if they are okay with sharing the space with the other class.

Hope this helps. If you have any questions, feel free to email me.

Subject: [CASL-L] computer lab or cart scheduling

We have quite a few computer labs and carts here and i am one person responsible for scheduling them. Right now we use a giant paper calender per lab and it has worked out ok. Conflicts have arisen about who signed up for what period first and people wanting to schedule from home, poor hand writing etc. Does anyone use technology to schedule labs or carts like a google spread sheet or calender or other means.
