[MCOH-EH] LINK: OHS EHR Users spreadsheet

We currently use Cerner for both EHS, WC and Patient’s. Although documenting is easy, pulling any type of reports is a challenge, so we have a separate access database to monitor compliance.

Hello David and all,

Certainly, this spreadsheet effort was INTENDED to be a living document (constantly updated by you, dear colleagues) so that we can see what each other are doing and thinking and potentially connect directly for more information. As David mentioned, this is collated information mostly from MCOH listserve’s chatter.

There are gaps on the spreadsheet where I didn’t have the information – feel free to fill them in or change information as needed!
I noticed that AOHP’s listserve is having the same discussion right now! This is definitely the hottest topic in OH this month.

Please see the link below. I hope it works for you.

Subject: RE: EPIC Smart Phrases for documenting WC injury care

All-

As we start a conversation about EPIC in Occ Med, I wanted to share that the Medical Center Occ Health listserve group just had a long conversation about EHRs and OHSs. Wendy Thanassi pulled together all of the comments (more than 35 separate emails by my count) and created a spreadsheet that she has shared on google documents. It doesn’t go into templates, but discusses pros and cons of various programs.

Wendy, are you able to share this with the OEM list group as well? I can paste the link here but I would rather you do so since you are the document owner.

As part of that MCOH discussion, I suggested that someone ask the right group at ACOEM (isn’t there a medical IT type of section?) pull all of this information together. While ACOEM probably can’t formally endorse any particular software, there’s no reason they can’t be a repository of useful information, templates, etc. Does any one know who runs such a section?

Dr. Doug Martin, are you tracking this conversation and can you help guide the referral to ACOEM? I lost your direct email address so I can’t cc you.

Dr. Galaid,
I spent almost 2 years building occ med and workers' comp functionality for my healthcare system before we went live on Epic. I am happy to share all that I have. If you have direct contact with your Epic builders for your system, I found that express lanes dedicated to occ med and workers' comp worked the best to drive providers to document exactly what we need but leaving out items that would be considered over disclosure. We also do not have a portal of any kind. I cannot push out questionnaires in advance. We do not have separate medical records for private medical care and occ med. For work restrictions, we used an Occ Med flowsheet which was an added tab at the top of your menu bar. We also will use an occ med EMR for our dedicated occ med sites, but we use Epic for urgent cares that also see workers' comp. It has worked well with the express lanes and flowsheet. I'll email you directly so I can send attachments.

Ed-

EPIC has been trying to develop an Occ Med module that would address Occ Med needs, both in working on injury cases and managing surveillance. I have attended a few web meetings over the last 1.5 years on this, but it’s slow going as EPIC developers don’t really understand how our needs are radically different than most usual EMR users.

The Employer Portal is one of the needs discussed by the docs that have been advising EPIC. It doesn’t exist, but if they ever truly develop a robust Occ Med module, they should be including some kind of employer module. But it remains to be seen.

I recommend that you get familiar with Epic Earth and Epic UserWeb. These are both resources that Epic has, though they are not game changes. Epic Earth is an interactive system, almost like a social media platform, where there are some experienced users and even some EPIC employees that can respond to questions. You can also search for an answer and occasionally find a pearl or two. Epic UserWeb is more in depth with training resources, though it is targeted to the super users. I have yet to find anything overwhelming in it, but I keep hoping.

I have a visit template for new and follow-up Work Comp cases, but I’m not sure I can share it since we are in different mother ships (our hospital is a Community Connect site for Nebraska Medicine). But you are welcome to try to search it: .DSCINJURYNEW and .DSCINJURYFOLLOWUP If you are able to find these in search, you can then save them as your own and edit as you see fit. If you aren’t able to find them, I can email them to you, but it will be a long document as I will have to provide the lists where there are list options. And then you’ll have to re-write them by hand. So not ideal. But I’m happy to share.

There are others way smarter than me who have developed some fairly useful tools in EPIC, but I haven’t figured out how to access them. Maybe we need a concurrent session at AOHC just on EPIC templates?

For those of you who have been using EPIC for WC injury care for a while, I would appreciate your sharing any Smart Phrases or workflows that seem to have worked well for you. We have just recently transitioned to EPIC, and everyone is incrementally getting over how to do the basics and so it’s time to throw WC at them.

The end users will be clinicians in our urgent care centers, that do some WC care along the usual clinical traffic. We use SYSTOC in our dedicated occ med practice, but we do not think it is a realistic expectation for our folks to be bilingual.

One last thing…has anyone seen an EPIC Employer Portal?

Thanks
